A delivery plan should say what service was ordered, where the equipment will be placed and who is ready to receive it.
Before you order.
Provide the full destination details, including ZIP code, residential or business address type, access restrictions and receiving hours. Tell the seller whether suitable unloading facilities are available. Ask which services are required and included in the quote. Liftgate service, moving equipment inside, unpacking and setup are separate questions; confirm each one that you need.
Before dispatch.
Keep the order reference, exact model, shipping contact and quoted service together. Ask how tracking and appointment information will be provided. Confirm the receiving contact’s phone number and the arrangements for any unloading work that remains your responsibility. Review the seller’s and carrier’s receiving instructions before delivery day.
When the shipment arrives.
Follow the carrier’s instructions for checking the shipment and recording discrepancies. Compare the shipment identification and package count with your paperwork. Document visible damage or missing pieces as instructed and contact the named seller or carrier route promptly. Use the actual claim procedure and deadlines for that shipment; there is no single deadline that applies to every order.
Keep the evidence together.
Retain the order and delivery documents, tracking or PRO reference, and clear photographs of the packaging, shipping labels and affected equipment when relevant. FedEx’s claims guidance calls for supporting records and says to retain packaging and damaged contents until the claim is resolved. Other carriers and suppliers may use different procedures; follow the process that applies to your shipment.
Before discarding packaging or arranging a return.
Check whether packaging or inspection is still required. Obtain the applicable return authorization and approved destination before arranging return transport. Keep a record of who owns the next action, including any inspection, replacement, repair or collection.
