Compare the complete equipment quote

Two prices are only comparable when they describe the same equipment and service. Use a written quote to bring the important details together.

Start with identity and quantity.

Record the manufacturer, full model number, version, options and quantity. Confirm the selling unit: one item, a pair, a case or a kit. List the accessories that come with it and those priced separately. Replacement parts need a verified fit for the existing equipment.

Compare what you will pay.

Ask for the equipment price, required accessories, shipping service and destination-specific charges. Include applicable tax and any services needed at your location. A product-only price can look lower while the delivered total is higher. Record the quote’s expiry and any conditions attached to a discount.

Separate dispatch from arrival.

Ask whether the exact configuration is in stock, when it is expected to dispatch and how the delivery estimate is determined. Record whether a delivery appointment is required. If timing matters, ask what happens when availability changes before shipment.

Make the handoff explicit.

Confirm where the carrier leaves the equipment and who is responsible for unloading, moving it inside, assembly and setup. Ask who provides technical support, where warranty work is handled and which return or cancellation terms apply. Put unanswered questions back to the seller before accepting a quote.

A comparison sheet you can reuse.

  • Supplier and quote date; expiry or validity conditions
  • Manufacturer, full model, options, selling unit and quantity
  • Included equipment and separately priced accessories
  • Equipment, delivery, destination charges, tax and total
  • Stock confirmation, dispatch estimate and delivery service
  • Assembly, setup, support and warranty responsibilities
  • Cancellation rules, return eligibility, destination and charges

Keep a copy of the final quote and the product-specific terms together. If the configuration or destination changes, request an updated quote.
